Minutes of Board of Directors meeting April 30,2016


KSRA board meeting minutes 4-30-16
Meeting called to order by President Ron Marr at 11:45am at Ruby Tuesdays in Elizabethtown, KY, members present were Marsha Berry, Randy Canham, Jeff Heath, and Tom Hills, secretary-treasurer.
First order of business was issue of board members, 10 people on board with only 9 positions, so Ron Marr resigned as President effective as of 4-30-16. Chuck Evans was nominated for President by Ron Marr , second by Tom Hills, all voted in favor. Tony Thomas was nominated by Tom Hills, second by Ron Marr, all voted in favor. The terms of the 9 board members are as follows, Randy Canham, Jimmy Earles, and Bob Tillett will expire in 2017; Marsha Berry, Dan Case, and Tom Hills will expire in 2018; and Chuck Evans, Tony Thomas, and Jeff Heath will expire in 2019. All board members must be a current USRA member.
Ron also talked about the need to have a tournament committee to help with the set up and running of tournaments. Jeff Heath, Randy Canham, and Tom Hills volunteered to be on it. Anyone else who is interested, just let a board member know. Tournament venues were also discussed, with costs at KSU and WKU running $500/day and up, plus the students have to be out of class. UK will not allow us to us the new courts at the Johnson Center, Jeff Heath is going to try to look into this. The Louisville Y only charges $200/day and we have no information on the Ashland Y. The Blue Grass State Games are scheduled for July 23-24 at the Y in Louisville, but we need to confirm that they will pick up the costs of courts. The state doubles will be in October or November, no site decided upon yet, but probably the Y in Louisville. The state senior games art coming up, Randy Canham is going to get info on them to pass along. We need to get tournament information out to players, so lets try to get flyers about the KSRA and tournaments into clubs. We also hope to get some informational USRA posters to post in clubs too.
We discussed how to raise more money for the KSRA, how to spend it wisely, and how to get more people to play in tournaments. Right now we spend about $600 a year for liability insurance for non sanctioned tournaments. Since it doesn't seem to effect the number of those entering the tournaments, we could save the $600 a year by just sanctioning all tournaments and being covered by the USRA's insurance. It paid off this past season when Jimmy Earles was injured at a USRA sanctioned event and they picked up all of his out-of-pocket expenses not covered by his insurance. The Ohio Racquetball Assoc. does a season long tournament shirt with all their sponsors on the back, if we could raise some sponsorship dollars, we could do this and buy shirts in bulk at significant savings. Tony Thomas has a contact for shirts and they would warehouse them for us. He also had mentioned that we approach all of the businesses we use and ask them for sponsorships both in dollars, discounts, or donations. If you or someone you play racquetball with has a business or a connection that may sponsor the KSRA, approach them or pass it along to a board member to pursue. We may also want to think about donating a portion of our profits to a charity as a selling point, we did this with the Y in Louisville this January when we gave them a check for over $1800 from the Spirit tournament we ran. It was suggested we think about a challenge event between different clubs/cities to encourage participation and then maybe have a playoff event to go along with this, just need someone to take ownership of this. Clinics at clubs and Y's could also encourage participation, and Marsha Berry has had some success with this in the past.
Randy Canham thought that the meeting was very productive and informative, and suggested we do more of them in person or by electronic means. Everyone thanked Ron for his many years of service to the KSRA and its membership. A motion to adjourn was made at 12:40pm by Ron Marr, second by Tom Hills, all in favor, adjourned.
